How do I take credit cards in the field? 2020-01-02T08:44:36-08:00

Credit card processing in the field & integration with QuickBooks Merchant Services

As shown in our weekly webinar and in our videos on Vimeo, Intuit Field Service Management comes with seamless integration to “QuickBooks Merchant Services with Web Store”.

There are two ways to take payment in the field:  Fully-integrated, and Partial Integration.

“Fully Integrated Payment Option” means:

  • Your tech uses the IFSM mobile app to prepare the invoice and to process the payment, and
  • The IFSM invoice synchronizes into QuickBooks with the Paid Stamp.
  • Fully Integrated credit card payments are accepted by direct manual entry inside the IFSM mobile app.
  • If the payment was not taken in the field then your office will process the payment.  Your office users can type in the credit card information through the IFSM web interface, process the payment, and the Invoice will sync into QB with the Paid Stamp.

Ready to get the full-integration feature activated for your team?

  1. Your office manager/admin logs into his or her IFSM account.
  2. Click on the Settings tab on the right hand side.
  3. Click Financial.
  4. Click QBMS Integration.
  5. Intuit will need to provide you with a connection ticket so IFSM has authorization to integrate with your QBMS.  To get your “QuickBooks Merchant Services Web Store” and your Connection Ticket, call Intuit QBMS at 877-212-6771.
  6. Follow this QBMS Integration Guide to setup the integration.

Please note:  the integrated invoice+payment occurs only with the IFSM and QuickBooks Merchant Services + Web Store.

“Partial Integration Option” means:

Keep in mind that Intuit also offers a different mobile payment system called GoPayment (GoPay).  GoPay (as well as Square) are applications that run separately from the IFSM mobile app.  Payments by credit card swiper (GoPayment, Square, etc.) are examples of “partially-integrated payment”.

  • Partial Integrated credit card payments are accepted by chip reader and card swipe and are taken outside of the IFSM mobile app.
  • If you use “partially-integrated” payment systems: At this time, the GoPayments and Square solutions integrate with QuickBooks directly, but their chip-readers and swipers won’t receive data from Corrigo’s IFSM app.  If you make an invoice using IFSM but aren’t using the correct QBMS+Web Store system, but instead you take a payment via GoPay/Square….the approved invoice will later sync from IFSM into QB as “account receivable” and you’ll need to manually relate the GoPay/Square monies with the Invoice inside QB.
  • IFSM customers using partially-integrated payment systems (GoPayment, Square, etc.) will benefit from a lower “transaction fee” (as compared to the manually-entered rate) and won’t need to manually enter credit cards in the field.  The trade-off is the invoices in QB must be manually associated with the payments in order to get the Paid Stamp to appear on each invoice.

How to hide Work Orders: one at a time dispatch 2017-08-11T16:14:01-07:00

Most Intuit Field Service Management subscribers take advantage of the real-time dispatch and the Appointment list on our mobile app running on the service technician’s smart phone or tablet.

However, some service companies want their techs to only know about the current work order, and the techs should not see any future appointments.

This document explains “one at a time dispatch” for Office/Service Manager/Dispatcher users.  One At A Time Dispatch

What can my techs do in the FSM mobile app? Are they logging into my QuickBooks? 2018-05-24T09:30:02-07:00

Your field techs do not access QuickBooks itself through IFSM. Using their paid subscription the techs log into FSM via our mobile app, which is designed to be easy-to-use for field technicians.  Techs can also log in via a browser interface if desired.

  • On the mobile app, your field techs get:
    • An appointment list showing where to go next and what needs to be done there.
    • Google Map links for driving directions
    • Prior site service history
    • Equipment lists with attributes and service history
    • Ability to create invoices, take payments and capture signatures
    • Ability to add photos for future reference, right on the work order
    • Within each work order, your tech also clicks a button to update status (picked up new work order, en route to job, started, completed…)
    • Much more!

It doesn’t take long before paper, and paperwork delays, are a thing of the past.

  • Your office workers create, schedule, and dispatch work orders anytime, anyplace, on their computers through the FSM application.
    • They log into FSM through a web browser.
    • As your techs update each work order, the information they create will be immediately visible to your office staff!
    • Your same folks who have access to QuickBooks today will be the only people who can access QuickBooks after FSM is installed.

With the Intuit Field Service Management app installed on your field technicians’ smart phones and tablets, your techs will be able to help your business get more work done, get paid faster, and streamline payroll processing! Try It Now

How do I add/remove users? 2018-05-16T19:08:08-07:00

As you add more users, your pricing per user goes down! Here’s a handy pricing reference showing how per-user pricing changes as you add users.

If you are working with one of Intuit’s Local Experts, please contact your Local Expert.  Otherwise, call Intuit Sales @ 844-832-2901 and choose Option 1 to add or remove Field Service Management users. Note: to add more users, instruct the Intuit sales rep to modify your existing subscription (not create a separate subscription).

Preparing for and dealing with an Internet outage 2017-08-11T16:14:01-07:00
  1. Log into IFSM from any PC browser as the Admin, Manager, Dispatcher, or Technician.
  2. Click the “Printer Friendly” button on the Work Orders screen for your Pending, or Unassigned, or Unscheduled work orders.  This provides you with a starting point of “what is already on your calendar” before any interruption in internet service.
  3. Design a custom report showing key data (customer, phone, problem, tech, appointment) and save it to your hard drive in PDF or Excel XLS format as a “just in case” backup/reference resource.

If you are surprised by an Internet outage…find a location where the Internet is working and follow the steps above.

Keep in mind that it’s quite possible for your field technicians to use the software even if your Internet is down at your office.

Where is my field service tech? Set up/modify GPS tracking 2017-08-11T16:14:01-07:00

Inside your Field Service Management app, there are two different ways for the office to know where the technicians are located. In both scenarios, the technician is a Login user with the Field Service Management mobile app installed on a supported smart phone or tablet device.  This article shows what the service manager and dispatcher can see location of the field service techs.

  1. (most common) Action based GPS location of field tech.
    1. When a tech makes changes to a Work Order, their location is displayed on both the Dispatch Board as well as the map tab of our Smart Scheduling Screen.
    2. This shows you where your techs were when Actions occur on a Work Order (pick up, en-route, start, complete, pause, on hold).
    3. The GPS dots should be on top of the customer address on the map. If not, the tech was somewhere other than the customer site when the action was documented.
  2. Time based GPS tracking
    • The FSM mobile app tracks techs throughout the day based on an interval you define.

Here’s the complete story: How to Set Up/Modify GPS Tracking in IFSM

What can my techs do when the mobile app is offline? 2017-08-11T16:14:01-07:00

Internet access is pretty much everywhere, but sometimes your field techs may find themselves in an area where they are unable to access a data connection. For example, a remote or mountainous region, or down in the basement of a building.

Often the tech can piggy-back on the customer’s own internet connection or wi-fi. But if that is not available or allowed, what can your field techs do in the app when no data connection is present and they are working offline? (One must also ask: if no data connection is present, is there any phone access either?)

The bottom line: The FSM mobile app caches the appointment list and work order details. Any work order edits or updates entered into the mobile app are stored with the time stamp until the device regains internet access.
