QuickBooks data integration with Intuit Field Service Management

Let’s talk about integration between IFSM and QuickBooks, and beyond!

This article describes built-in integration via the Corrigo Integration Client, as well as how to import information that is not part of our built-in integration.  Lastly, this article touches upon reporting and data exporting out of IFSM.

When you purchase your Intuit Field Service Management (“IFSM”) subscription, Corrigo provides you with a new database.  Next you’ll log in, access the Settings area, and configure the system (your company logo, hours of operations, technician skills, teams, services and categories, etc.).  Then you activate the integration between IFSM and your QuickBooks via our Corrigo Integration Client (IFSM integrates with supported  U.S. versions of QuickBooks Online, and supported U.S. versions of QuickBooks Desktop Pro, Premier, or Enterprise).

What data integrates between IFSM and QB?

  1. Active customer list in QB will sync to IFSM.
  2. Active item list in QB will sync to IFSM.
  3. As you make new customers or invoices or time card records in IFSM, these will sync into QB. Invoices syncing from IFSM into QB containing inventory items will decrement those inventory items accordingly inside your QB.
  4. Sales orders and invoices you create inside QB will never appear in IFSM. If you want a work order or invoice to appear in IFSM you must make it in IFSM and sync the invoice to QB if you want the invoice to appear in both databases.

Importing Data or Work Order history into Intuit Field Service Management

Sometimes new IFSM customers were using a competing work order software package prior to their IFSM and want only some of the prior work order history and customer equipment list to appear inside IFSM. This is typically accomplished by enabling and creating back dated work orders.  There is no fee to make back dated work orders (only your own time and effort).

Sometimes new IFSM customers were using a competing work order software package prior to their IFSM and they want all of this work order history, as well as customer equipment list and attributes, to appear inside IFSM so all of the information is in one place. This is possible by hiring a professional services firm to push data into IFSM.

Sometimes new IFSM customers were using invoices in QB as “work orders” prior to their IFSM and they want these invoices in QB to somehow appear inside IFSM as work orders.  This is possible by hiring a professional services firm to push data into IFSM.

Exporting data out of Intuit Field Service Management

Sometimes IFSM customers wish to export data from IFSM.   This can usually be accomplished by creating a report inside IFSM.  Once you run your report you can save the output in the desired file format (XLS, CSV, XML, PDF…).

If you require the data in a very specific data format (often called an EDI), this is possible by hiring a professional services firm to export data from IFSM.

Assigning and Editing Work Order assignments via the mobile app

This month’s topic: Let’s take a closer look at the Team Work area of the technician’s mobile app. This area is where your field supervisors can view and manipulate work via the mobile app. Keep in mind that the Team Work menu choice is available to mobile login users with the following roles: field supervisor, manager, dispatcher.

  • For Apple device users, access the Team Work area of the Intuit Field Service Management mobile app, you will click on the “box with arrow” graphic in the lower right of the My Work screen.
  • For Android device users, access the Team Work area of the Intuit Field Service Management mobile app, it depends. You will either click on the “three dots” graphic in the upper right of the My Work screen, or you will press the Menu button on the phone itself.

Inside the “Team Work” area of the Intuit Field Service Management mobile app you can:

  • View workload (name of each technician and number of work orders)
  • View Unassigned work orders
  • Assign the Unassigned work orders
  • View “Needs Acceptance” work orders (coming in from the Corrigo Work Order Network)
  • View Flagged, Waiting For Pick Up, Picked Up, Completed Today, Cancelled Today, and On Hold work orders
  • Define Scope by service teams or dispatch centers

  • Capture and access Preventative Maintenance (PM) contract terms such as: equipment information, service intervals, billing, and customer discount details in one system to ensure that the contract is easily fulfilled.
  • Preventative Maintenance work orders (PMs) are auto-created

Understanding Custom Fields

Based on many years in the service management industry, Corrigo provides the primary fields your business will want to track related to your customers, sites, work orders, and invoices.  When you want to track something unique then you can use either Custom Fields or Equipment Attributes.

When using custom fields, you have the ability to define the type of field and you also have the ability to hide the field from the field techs using the Intuit Field Service Management mobile app (IFSM).

To set up a new custom field:

  1. Log into your IFSM account from the browser and click Settings/Company/Custom Fields
  2. Click Add a New Custom Field
  3. Label your field with a name (such as “Source of call”)
  4. Choose the type of custom field from the drop-down list (see below)
  5. Optionally, choose the length of the custom field (valid only on “String” type)
  6. Click the Add button to add the field

To create a “drop-down pick list” for the String type custom field:

  1. After creating the custom field you are back a a list of all custom fields.  Click Edit on the right side of the custom field requiring drop-down menu choices
  2. The String type field must have a length of 40 characters or less in order to enable the pick list option
  3. In the Pick List column, click “Add” to add choices.

A brief explanation of the different types of custom fields:

  • String = free form numbers and text, with spaces and most special characters.  Also supports drop down pick lists for strings up to 40 characters
  • Integer = whole numbers only
  • Float = numbers with decimals
  • Money = auto-formats to dollars and cents
  • Phone number = formats to reflect a seven-digit phone number and area code
  • Date = month/day/year formatting from a calendar-like interface
  • Time = drop-down list of times
  • Bool = Yes or No radio button

Custom fields can be hidden from your field technicians via the mobile app.  This helpful video shows how to create a custom field and how to hide/show the field from the mobile users.  The following are examples of how custom fields can appear on the mobile application:
